Vacancy Notice No: WPRO/12/FT421 Title: Administrative Clerk Grade: G4 Contract type: Fixed-Term Appointment Duration of contract: 2 years Application Deadline: 20 November 2012 Duty Station: Manila, Philippines Organization unit: WP/DSE Health Security and Emergencies (WP/DSE) / WP/ESR Emerging Disease Surveillance and Response (WP/ESR) OBJECTIVES OF THE PROGRAMME : To provide clerical support to the Emerging Disease Surveillance and Response (ESR) unit. Description of duties: Under the supervision of the Team Leader, Emerging Disease Surveillance and Response (TL/ESR), the incumbent performs the following functions: 1. Maintains and updates the stock inventory and records of all ESR supplies. Maintains monitoring and follow-up system. 2. Conducts physical inventory and monitors supplies through the supply tracking system. Coordinates with Supply Unit (SUP) and country offices on the purchase, shipment, and storage of specific supply orders. 3. Ensures that appropriate level of stock is maintained. Liaises with SUP for the immediate replenishment, where required. 4. Maintains, logs, files and records in area of responsibility. 5. Provides support in the arrangements for meetings, workshops and training courses including the preparation of related files. Prepares briefing packs for incoming short-term consultants and temporary professional staff. 6. Drafts routine correspondence, memoranda and reports on own initiative or from brief instructions. Types statements, reports, studies including statistical tables, etc., from manuscripts using a word-processing equipment. 7. Takes/transcribes non-technical and technical correspondence, reports, etc., from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with procedural instructions and format. Takes notes at meetings, as and when required. 8. Occasionally replaces secretarial staff within the unit or division during their absence, as coordinated by the Administrative Assistant. 9. Performs other related duties as may be assigned. REQUIRED QUALIFICATIONS Education: Graduate from secondary school with training in clerical work and/or computer applications. Skills: Knowledge of office procedures. Good skills in the use of automated data systems and various software applications. Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain high standards of personal conduct. Experience: Three years' experience in clerical functions and/or computer related work. Languages: Excellent knowledge of spoken and written English. Additional Information: Post is subject to local recruitment and will be filled by persons recruited in the local commuting area of the office.
