CAR FLEET ADMINISTRATOR – GLOBAL PROCUREMENT

SCOPE:
Reports to the Regional Procurement Manager for EMEA.
Works to objectives/targets set by the Global Procurement Director and Procurement Manager.
Provides administrative support for countries in EMEA relating to Car Fleet & Fuel Card Management.
Supports Oracle’s Real Estate & Facilities, HR and Procurement Line of Business (LOB) working closely with Senior Managers, global and regional suppliers and Tactical Procurement.
RESPONSIBILITIES:
Supplier Relationship Management
o Ensure the optimum level of price, service and coverage from all suppliers.
o Ensure work is completed in line with Oracle’s processes and procedures and performed to agreed Service Level Agreements (SLA’s).
o Establish supplier score cards for key suppliers and participate in facilities/supplier quarterly business reviews with selected suppliers.
Administrative Duties
o Tracking of all vehicles in allocated countries.
o Contract management.
o Driver support
o Driver licence administration.
o Accident & Insurance management support.
o Invoice validation and audit compliance.
o Out of contract charges.
o Fuel card administration and audit compliance.
o Payroll deductions audit.
o Fine management.
Contract review and negotiation
o Formulate, review and negotiate contractual documentation in line with Oracles Legal terms, processes and procedures.
o Liaise with Oracle’s Contracts Team (Kteam) to ensure regional and local country contracts comply with Oracle’s corporate and legal policy requirements.
Line of Business (LOB) liaison
o Act as the interface and point of escalation for internal customers ensuring resolution of all Car Fleet issues.
o Provide ongoing support and guidance to LOBs as required.
o Host, present, co-ordinate and attend regular meetings/business reviews/conference calls with the LOBs and external suppliers as required.
Merger & Acquisition Activity
o Assist with Merger and Acquisition (M&A) activities in accordance with Oracle’s policies and procedures.
SKILLS AND EXPERIENCE:
Minimum 3 years Car Fleet experience
Contract/Procurement knowledge
Experience in the procurement of Car Fleet is advantageous, but not necessary
Contract negotiation skills
Computer literate – (MS Word/Excel/ Outlook)
Good command of the English and Italian, both orally and written
