NATURE OF THE TASKS
The Translation Workflow Assistant will report to the Head of the Demand Management Section.
Administration of translation request from their receipt to the final delivery of the translations to the client according to the internal guidelines, quality manuals and procedures in force at the Translation Centre, This core task namely includes the following aspects:
1 - Support the Head of Section in the day-to-day operations:
- Analysing incoming translation requests as regards formal, linguistic and technical aspects;
- Negotiating matters related to the processing of translation requests (e.g. deadlines) with clients;
- Ensuring that all necessary linguistic and technical pre-processing of translation requests is carried out in accordance with applicable procedures;
Outsourcing of translation work to the Centre's freelance translators according to the applicable rules and administrative procedures;
- Following-up all document related questions from interna! and externa! translators;
- Communicating with clients, in-house translators and external translation service providers in all matters concerning ongoing translation projects;
- Monitoring of the translation workflow and ensuring the respect of deadlines;
- Ensuring that all administrative data related to the clients' requests are followed-up according to the applicable rules and administrative procedures.
2. - Other tasks include: Performing any other duties related to the section.
SELECTION CRITERIA
To be eligible to take part in this selection procedure, the applicant must, on 15.11.2012 the closing date for online applications, meet the following requirements:
a) ELIGIBILITY CRITERIA
• Be a citizen of a Member State of the European Union.
• Qualifications: have a level of post-secondary education attested by a diploma,
or
a level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years.
• Linguistic skills: have a thorough knowledge of one of the official languages of the European Union and a satisfactory knowledge of another official language of the European Union, to the extent necessary for the performance of duties.
• Professional experience: after obtaining the above-mentioned qualifications, have acquired at least three years full-time professional experience relevant to the duties concerned.
b) SELECTION CRITERIA
OBLIGATORY
■ Thorough knowledge of IT tools (MS Office software, Electronic messaging, Internet);
■ A very good knowledge of French or English and a satisfactory knowledge of French or English (spoken/written);
■ Very good knowledge of working methods applied to translation workflow administration;
■ Work experience in a similar position in a European or international organisation.
ADDITIONAL CRITERIA WHICH WILL BE ADVANTAGEOUS
- General knowledge of financial and procurement regulation of the EU;
- Knowledge of electronic workflow tools;
- knowledge of a third official language of the European Union.
c) ESSENTIAL NON-TECHNICAL SKILLS
• Written and oral communication: report-writing ability, a systematic approach and an ability to communicate in the working languages of the Centre.
• Interpersonal capacity : ability to work in a team, to communicate well at all levels (internal and external), and to work in a multilingual environment.
• Sense of responsibility: discretion, confidentiality, precision, availability, efficacy and punctuality.
• Organisational skills: ability to manage various tasks and to set targets, to have a methodical and progressive approach, versatility.
• Adaptability: able to help others and to work well under pressure and to assist others, ability to up skill and to adapt to developments in the IT environment.
