Full-time Project Management Support Officer

VACANCY NOTICE REF.: CEPOL / 2013 / TA / 004 Institution: European Police College - CEPOL Project Management Support Officer Temporary Agent, AST 3 1. Job Summary Reporting to the Head of Unit, the incumbent supports the work of the Programme and Project Management Unit by performing administrative, financial and operational support tasks in the context of the Unit’s Annual Work Programme. 2. Key Accountabilities - Provide administrative support in the identification, formulation, implementation, monitoring and evaluation phases of projects; - Keep track of the work of the unit in line with corporate deadlines and in relation to documents to be submitted; - Documents and Records management, including maintenance of electronic as well as hard copy files; - Keep track of financial flows relevant to the Unit’s work; - Manages correspondence; - Assists in keeping relations with stakeholders and external interlocutors; - Organises and/or supports the administrative and logistic aspects of project and programme activities, including Network meetings, web seminars, study visits to CEPOL and others; - Support the submission of periodical reports; - Ensure proofreading, editing and formatting of documents produced by the Unit; - Support implementation and evaluation of surveys; - Take care of leave/mission management of Unit staff; - Assists in gathering and collating input with a view to fulfilling the Unit’s regular reporting obligations f.eg Balanced Scorecard, Agency Activity Reports and the like; - Cooperate and support other colleagues from other CEPOL Units/Departments, notably the Training Unit and Corporate Services Department; - Performs any other related tasks as required. 3. Eligibility Criteria 3.1 A level of post- secondary education attested by diploma; OR 3.2 A level of secondary education attested to by a diploma giving access to post secondary education, and appropriate professional experience of at least (3) three years. 3.3 In addition to the above, either both case 3.1 and 3.2 above, at least (3) three years of relevant and proven professional experience gained after obtaining the diploma; 3.4 Thorough knowledge of one of the languages of the Communities. The applicant must also have a satisfactory knowledge of another language of the Communities, corresponding to level A2 of the Common European Framework of References for Languages (CEFR). In addition, in order to be eligible the candidate must: - Be a national of a Member State of the European Union; - Be entitled to his or her full rights as a citizen; - Have fulfilled any obligations imposed by the applicable laws on military service; - Meet the character requirements for the duties involved and - Be physically fit to perform the duties linked to the post. 4. Appointment and Conditions of Employment A contract offer will be made as a member of the contract staff of the CEPOL Secretariat in accordance with the Conditions of Employment of Other Servants of the European Communities3 for a five year period, which may be renewed for an additional five years. The successful candidate will be recruited as AST 3. The estimated basic monthly salary shall be € 3.397,73 dependent upon relevant experience. The correction coefficient (currently on date of publication of vacancy notice 34.4%) for the United Kingdom shall apply. The salary is free of national taxation. In addition, CEPOL will provide benefits and entitlements in line with those of European Union Civil Servants. The successful candidate shall undergo a probation period of 6 months. 6.
