(JUNIOR) EVENTS MANAGEMENT OFFICER
Appointment will be made on the basis of a fixed term contract of up to 12 months, ending 1st March 2014
Purpose
Plan, coordinate and implement external EIB-sponsored events to increase the visibility of the EIB and build its reputation with business (private and public sector) and other stakeholders in a country and/or a region according to the Bank’s operational strategy and priorities. Development of event material such as invitations, speaker guides etc. as well as ensuring appropriate internal and external coverage of the event belong to the tasks.
Operating Network
The successful candidate will be in charge of events organised in partnership with EIB services (Directorates for Lending Operations, Projects Directorate and Economics Department) and will contribute to the planning, organisation and implementation of events inside and outside the EU. Events can also be organised by partnering with reputable organisations to leverage participation at and coverage of the event.
S/he will report to the deputy Director and work as a team member of the events team as well as working with the Communication Department Staff and operational staff concerned.
Accountabilities
Establish – in cooperation with operational departments –the planning, scheduling and budgeting of events on an annual basis in order to contribute to raising the Bank’s visibility and building its reputation on key priorities; and to support EIB operational departments in establishing and strengthening contacts with specific groups of stakeholders and potential/existing clients. This includes:
Conduct, or assist in conducting of “market” research activities to identify targeted external audiences, including potential speakers and sponsors organisations (institutional and/or professional).
Propose appropriate media for distribution
Examine and report on event & promotional opportunities for current and proposed event projects.
Plan and manage the overall organisation (preparation and running) of assigned events (conferences, seminars, public speaking engagements, etc.) in order to ensure quality and conformance with set deadlines and budget and to achieve communication goals. Typical activities include:
Propose and draft events’ agendas and programmes
Set and manage all necessary contacts with potential speakers, sponsors etc. and liaise with operational staff concerned
Structure, write and edit promotional material in printed and electronic formats
Handle logistic issues and undertake relevant administration work
Define and negotiate services contracts with external suppliers and steer and monitor services provided
Monitor budget expenditures and review invoices prior to payment for the assigned events
Attend events and provide the necessary support
Qualifications
University degree (post-graduate), with studies preferably oriented towards public relations, journalism, marketing, economics, law, business or political sciences.
At least 3 years relevant professional experience in corporate communications, media relations, marketing or related specific fields such as events or project management
Confirmed skills in corporate communication and/or public relations or marketing communication and ideally also in events management
Some knowledge of economics, financial markets and the banking sector would be an advantage
Good knowledge of EU policies and understanding of EU affairs
Knowledge of the EIB standard office tools (Word, Excel, PowerPoint)
Excellent knowledge of English and/or French and a good knowledge of the other (*). Working knowledge of other EU languages would be an advantage.

Strong organisational skills and ability to plan, prioritise and coordinate several project simultaneously

Flexible, reliable and taking initiatives
Willingness to travel often both within and outside the EU
(*) There may be certain flexibility on this requirement, but limited to particularly suitable candidates who may not yet be proficient in French. If selected, such candidates will be hired on the condition that they build up rapidly knowledge of French and accept that their future career in the EIB may be subject to the attainment of sufficient proficiency in both of the Bank’s working languages
